How much does a bespoke CRM cost in the UK?

UK bespoke CRM builds start from £15,000 for a focused single-workflow build (for example, a recruitment pipeline tool or a donor management portal), rise to £40,000 to £85,000 for a standard full-CRM engagement, and reach £100,000 to £150,000+ for enterprise, multi-entity, or heavily regulated builds. Regulated sectors (financial services, legal, healthcare) carry a higher floor of around £25,000 because of the compliance scaffolding required. The largest cost drivers are integration count, data migration complexity, and the scope of compliance requirements. Every discovery call ends with an indicative budget range, not a guess.

How long does a custom CRM take to build from scratch?

A focused build goes live in 10 to 14 weeks. A mid-sized regulated-sector build takes 14 to 22 weeks. A large wealth-management or multi-entity build runs 20 to 32 weeks. Is a bespoke CRM better than Salesforce or HubSpot for a regulated business?

Salesforce and HubSpot are excellent products for the use cases they were designed for. A bespoke CRM makes sense when your compliance obligations, advice process, or operational workflow is the core of your differentiation, and when the cost of forcing your business to fit an off-the-shelf data model exceeds the cost of building a purpose-fit platform. Most firms under 15 users with standard workflows should use off-the-shelf. Most firms above 25 users with distinctive workflows or heavy regulatory load outgrow it.

Do you build for FCA, SRA, CQC, and other UK regulators?

Yes. Our specialism is regulated UK businesses. Financial services (FCA, MiFID II, SM&CR, Consumer Duty), legal (SRA, LSB), healthcare (CQC, Caldicott), recruitment (REC, AWR, IR35), and charities (Charity Commission, Gift Aid) all have dedicated industry pages with the specific obligations built into every workflow.

Who owns the code and the data at the end of the project?

You do. Code is delivered to your GitHub or GitLab organisation under a permissive licence. The database runs in your cloud account (AWS, Azure, or GCP). There is no vendor lock-in. We offer ongoing support and enhancement contracts, but you are free to engage any competent development team to maintain the platform after handover.

Can you migrate our data from Salesforce, Microsoft Dynamics, or a legacy system?

Yes. We have migrated from Salesforce, Microsoft Dynamics, HubSpot, Intelliflo Office, Curo, Adviser Office, Plannr, Zoho, and bespoke legacy databases. Migration includes field mapping, data cleansing, historical document preservation, and a parallel-running period so your team does not lose continuity during cutover.

How do you handle UK GDPR and data protection in the build?

Every personal data field is tagged with a lawful basis and a retention period. Automated retention schedules purge or archive data on schedule. Subject access requests are fulfilled from a single dashboard that assembles all data for a named individual. Record of processing activities is generated from the data model rather than maintained manually. This is baseline, not an upgrade tier.

What happens if we need changes after launch?

Most clients retain us on an ongoing support and enhancement contract. The architecture is explicitly designed to make change cheap: workflows, validation rules, and reporting are configuration rather than hard-coded logic, so regulatory updates and business changes can be implemented in days rather than waiting for a full release cycle. You also have the option to bring maintenance in-house or move it to another provider at any time.
