CRM Consultation

Independent CRM strategy, not vendor-aligned advice

We assess your current setup, understand your real requirements, and give you an honest recommendation, whether that’s bespoke development, an existing platform, or a hybrid approach.

What We Assess

A clear-eyed view of where you are today

Before making any recommendation, we invest time in understanding your current situation in full.

Current System Audit

What’s working, what’s broken, and where workarounds have quietly become the process. We document this without judgement.

Workflow Mapping

How your team actually operates day-to-day versus how the system says it should work. The gap between the two is usually where the problem lives.

Data Model Review

Whether your current schema can support business growth, regulatory requirements, and the integrations you need to add.

Integration Landscape

What your CRM needs to communicate with, and whether those connections currently work, are manual, or are entirely missing.

What You Receive

Structured outputs, not slide decks

The engagement ends with three concrete deliverables you can act on immediately, regardless of who you choose to work with next.

Deliverable 01

CRM Requirements Document

Your workflows, data entities, user roles, and compliance requirements captured in a structured specification. Vendor-agnostic and ready to go to market with.

Deliverable 02

Platform Recommendation

An honest assessment of build vs buy vs hybrid, including a three-year total cost of ownership analysis for each option. No vendor relationships influencing the recommendation.

Deliverable 03

Implementation Roadmap

A phased delivery plan with effort estimates, sequenced priorities, and clear dependencies. Whether you use us to build or not, this roadmap is yours.

Who This Is For

Recognise any of these situations?

1

Outgrown the platform

You’re paying for a Salesforce or HubSpot licence and using 20% of the features. The rest is overhead: cost, training, and administration.

2

Workarounds are the process

Your team has built spreadsheets, Zapier automations, and email threads that have quietly replaced the CRM. Nobody is sure what the source of truth is anymore.

3

About to make a big decision

You’re planning to replace your current system and want an independent view before committing budget and 12 months of organisational disruption to the wrong choice.

Questions Answered

CRM consultation: your questions answered

The questions UK businesses ask us most often before commissioning a strategy engagement.

How long does a strategy engagement take?

Most strategy engagements run for two to three weeks from kick-off to final deliverables. The first week is discovery and workflow mapping, the second is data and integration review, and the third is analysis, recommendation, and roadmap preparation. We can compress to ten working days for urgent buying decisions if required.

How much does CRM consultation cost?

A standard strategy engagement is priced at a fixed fee between £8,000 and £18,000 depending on the size of the organisation and the complexity of the current setup. For complex multi-entity groups or firms evaluating an enterprise platform migration, the upper end is appropriate. For single-site SMEs the lower end applies.

Is the recommendation genuinely independent?

Yes. We hold no reseller agreements with Salesforce, HubSpot, Microsoft, or any other CRM vendor. If the honest answer is "stay on your current platform and tighten process", we say so. If the answer is "buy HubSpot and do not build bespoke", we say so. Our only commercial stake is the strategy fee, not downstream implementation.

What do we actually receive at the end?

Three deliverables: a CRM requirements document that is vendor-agnostic and ready to go to market with, a platform recommendation with a three-year total cost of ownership analysis across your shortlisted options, and an implementation roadmap with effort estimates and sequencing. All three are yours regardless of who you work with next.

Can we use the requirements document to get quotes elsewhere?

Yes, and we encourage it. The requirements document is vendor-agnostic by design and written in language that any competent implementation partner can quote against. Comparing quotes from multiple providers (including ours, if you decide bespoke is the right answer) is the healthy outcome.

Do you only recommend bespoke builds?

No. Roughly a third of our strategy engagements end with a recommendation to stay on or migrate to an off-the-shelf platform. A bespoke build is only the right answer when the operational differentiation justifies the investment, and we would rather lose an implementation project than deliver a bespoke CRM to a firm that would be better served by HubSpot.

Who needs to be involved from our side?

Typically: the executive sponsor (CEO, COO, or equivalent), one or two operational leads whose teams use the CRM daily, a compliance or risk lead for regulated sectors, and a finance or IT contact for systems and integration questions. Most workshops are 90 minutes, and we need four to six of them across the engagement.

What if we already know we want to build bespoke?

Even then, a short discovery engagement (one to two weeks) is valuable before committing to a full build. It sharpens the requirements, surfaces integration complexity that would otherwise appear mid-build, and gives you a fixed-price build quote with confidence. Most of our build engagements begin with a discovery phase even when the decision is already made.
